How we handle your family's information

We collect personal data under the Personal Data Protection Act 2012. This notice sets out what we collect, why, and the choices you have. By sending an enquiry or booking a session, you consent to the uses described here.

What we collect

Your name, mobile number and email. Your child's name, age, allergies, dietary needs, medical conditions and any care notes you choose to share. An emergency contact. Payment references from PayNow transfers.

Why we collect it

To care for your child safely, to reach you during a session, to plan meals around allergies, to confirm bookings and payment, and to send you session updates. We do not use your details for anything else without asking you first.

Who can see it

Only the two adults on duty at a session. We do not sell, rent or share your data with third parties, except where the law requires it or where a medical emergency means passing information to paramedics or a hospital.

Photographs

We take photos of theme nights only with your written consent, given separately from your booking. You can say yes to photos we send you privately and no to anything public. Consent can be withdrawn at any time and we will remove existing photos from our channels.

How long we keep it

Care and medical notes are kept while your child attends and for 12 months after their last session. Payment records are kept for five years as required for accounting. Enquiry details from families who never book are deleted after six months.

How we protect it

Records are held on password-protected devices with encrypted storage. Paper forms are kept locked away and shredded once no longer needed. Messages are kept on WhatsApp accounts secured with two-step verification.

Your rights

You may ask to see the personal data we hold about you or your child, ask us to correct it, or withdraw your consent to any use of it. Write to our Data Protection Officer and we will respond within 30 days. Withdrawing consent for care and medical information means we can no longer take your child for a session.
